The challenge

Emerge GHI and the Precision Medicine Expo and Summit is a complex, multi-stage international event bringing together global healthcare leaders, investors, researchers, exhibitors and policymakers. The scale of the event, combined with strict local regulations, VIP attendance and a dense conference programme, required a delivery partner with deep operational experience, absolute attention to detail and the ability to respond quickly under pressure.

In 2022, Fluency was appointed to deliver full end-to-end operational and programme support. In 2023, Fluency was brought in at very short notice following a breakdown in delivery from a newly appointed team, requiring rapid intervention to stabilise and deliver the conference programme.

Our approach

Fluency provided hands-on, senior-level event delivery support, covering both the operational backbone of the exhibition and the strategic management of the conference programme across four stages.

Our role was not just coordination, but ownership. We acted as the central point of control between organisers, speakers, exhibitors, suppliers, venues, regulators and VIP stakeholders.

  • VIP management including travel coordination, letters of invitation and curated VIP tours.

Conference and programme management

  • End-to-end programme management across four live stages.

  • Programme curation including investor and pitching stages.

  • Speaker liaison across international speakers and third-party representatives.

  • Permit applications for speakers in line with local authority requirements.

  • Collection and management of speaker materials for promotion and AV delivery.

  • Host preparation and briefing.

  • Centralised collection of presentations and direct liaison with AV technicians.

2022 highlights

  • Over 1,200 attendees across the exhibition and conference.

  • Visit from Sheikh Nahyan bin Mubarak Al Nahyan, Minister of Tolerance and Coexistence and President of the UAE Genetic Diseases Association.

  • Delivery of a full, multi-stage programme with international speakers, investors and exhibitors.

  • Seamless VIP experience managed end to end by the Fluency team.

2023 rapid-response support

In 2023, Fluency was engaged at the last minute after the event experienced delivery challenges with a newly appointed team. Within a compressed timeframe, we stepped in to:

  • Take full control of programme management across four stages.

  • Rebuild speaker liaison processes.

  • Collect and verify speaker data, permits and presentations.

  • Prepare hosts and stabilise on-site delivery.

Despite limited lead time, the programme was delivered successfully, supported by structured processes, direct speaker engagement and experienced on-site management.

Insight-led improvement

Following the 2023 event, Fluency delivered a detailed project debrief highlighting what worked, where risks emerged, and how future editions could be strengthened through improved systems, clearer ownership and earlier process implementation. This included practical recommendations around live programme tracking, speaker data management, exhibitor slot clarity and structured communication between programming and marketing teams.
